Job Description

Core Functions:

  • Ability to answer telephone calls promptly and in a professional courteous manner.
  • Builds and maintains relationships with various community vendors who support patient needs. Maintains database with contact information and mailing lists for community resources.
  • Classifies, sorts, and files correspondence, records, and other documents accordingly. Maintains confidentiality, security documentation, and knowledge as appropriate (personnel, financial, and hospital data/records).
  • Sends daily correspondence to team with department, organization, and community updates. Captures pertinent information during huddles and department meetings.
  • Schedules and maintains meetings and appointments for the department management and staff. Books meetings including scheduling rooms, catering requests and multimedia requests for all department members. Prepares and schedules all materials necessary for attendance at meetings. Coordinates with presenters. Accurately records and distributes minutes of meetings.
  • Assists new hires with orientation to department and hospital and ensures all required access is in place.
  • Demonstrates expertise in the use of Microsoft Office Suite and Adobe Acrobat. Creates professional documents that are grammatically correct.
  • Uses EMR to review patient record to determine best point of contact. Creates and modifies shared lists and SmartPhrases.
  • Receives and processes all incoming invoices for department and patients enrolled in assistance programs.
  • Assists RN, MSW Care Managers and RCMAs with tasks pertinent to discharge planning.

Background/Expertise:

  • High school graduate or GED equivalency required. Associates degree preferred.
  • Minimum of two (2) years of experience in a responsible secretarial/administrative assistant position, preferably in a medical setting.
  • Typing: minimum of 60 words per minute.
  • Expertise in word processing and Microsoft Office Suite required.
