Job Goal: To perform a variety of senior level technical, administrative, and secretarial duties to support efficient school operations. Supervises or leads the work of other classified employees.
Essential Requirements: High school diploma and four years general office experience; or any combination of education and experience which would provide the applicant with the desired skills, knowledge, and ability required to perform the job.
  • Detailed knowledge and understanding of the unit’s goals, procedures, and processes.
  • Knowledge of and ability to use secretarial practices and office procedures.
  • Knowledge of and ability to use business English including reading, composition, spelling, grammar, punctuation, and letter formatting.
  • Working knowledge of bookkeeping practices and procedures.
  • Skill in operating standard office equipment such as spreadsheets, word processor, and calculator; ability to type 60 wpm.
  • Ability to work independently prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail.
  • Ability to develop and install administrative office procedures.
  • Good oral communications skills and interpersonal skills with the ability to work with a variety of personnel using tact, courtesy, and good judgment.
  • Ability to establish and maintain filing and record keeping systems.
  • Ability to physically perform assigned duties, including, but not limited to lift objects up to 25 lbs., and sit for extended periods of time.
Essential Duties and Responsibilities:
Supervises and/ or leads the work of classified employees: provides training, makes and checks work assignments, and assists in performance evaluation.
  • Sets up and maintains administrative procedures and processes for the office.
  • Performs complex technical assignments requiring knowledge and understanding of unit operations.
  • Serves as a key contact person and liaison between the supervisor and other departments, staff, and the community. Coordinates the dissemination of departmental information as appropriate,
  • Screens incoming calls, mail and visitors. Provides information regarding established departmental or district services or processes.
  • Coordinates the office operations and develops administrative forms and procedures. Coordinates the processing of forms, notices, orders or lists for specialized activities, such as human resources actions, applicant records, Districts surveys, position control, time sheets, cash control, and student enrollments.
  • Processes purchase orders and requisitions assuring proper approvals, coding and records. Purchases office supplies for the building.
  • Schedules appointments for staff and maintains a calendar of events. Arranges and coordinates meetings for councils and committees. Keeps those served informed of itineraries and appointments.
  • Assists in budget preparations for the building. Monitors departmental budgets and prepares statistical reports and schedules, notifying supervisor of any budget problems.
  • Types, edits and proofs correspondence, documents, reports, memos and minutes from handwritten or printed copy or form dictating equipment.
  • Determines layout, formats and other related details. Composes routine business correspondence, prepares detailed reports, grants, and meeting minutes as assigned.
  • Ability to store and administer medications consistent with training from school nurses.
